The Administrative Coordinator supports the organization’s daily operations through a blend of administrative, communications and event support, serving as the first point of contact and ensuring an organized and professional office environment.

POSITION SUMMARY

Reporting to the Director of Administration, the Administrative Coordinator supports the daily operations of the organization by providing administrative, communications and event support. As the first point of contact for visitors and inquiries, the role ensures a professional and organized office environment while handling reception duties, scheduling, minute-taking, document preparation, filing and vendor coordination. The position also assists with internal and external communications by maintaining mailing lists, formatting and proofreading web and social media content and ensuring accessibility through accurate alt-text. Additionally, the role supports event planning and delivery by coordinating vendors and stakeholders, distributing promotional materials, tracking guest lists and nominations and providing onsite logistical support.

 

KEY RESPONSIBILITIES

  1. General Administrative Support (50%)
    • Provide reception support, including greeting visitors and responding to incoming telephone and email inquiries.
    • Record clear and accurate meeting minutes and assist with scheduling through the distribution of availability polls and meeting notices.
    • Set up and take down meeting rooms by arranging furniture, equipment, and materials based on event needs; ensuring technology and supplies are ready beforehand; and restoring the room to its standard layout and cleanliness afterward.
    • Carry out data entry tasks to support administrative workflows, ensuring accuracy, consistency and proper handling of confidential information.
    • Compile documents and reports upon request, ensuring accuracy, proper formatting, and timely delivery.
    • Assist management with the circulation of questionnaires and surveys.
    • Conduct vendor research and compile quotations and price comparisons to support procurement decisions.
    • Assist in the organization and maintenance of both physical and digital filing systems.
    • Support opening and closing procedures and contribute to the upkeep of shared office spaces to ensure a professional and organized environment.
    • Perform additional tasks consistent with the scope and responsibility of the position as assigned by management.
  1. Communications Support (25%)
    • Assist in the distribution of internal and external communication materials, as directed by management.
    • Develop and maintain mailing lists and internal contact databases.
    • Assist in posting social media content using pre-approved scripts, organizational templates and brand kits.
    • Add alt-text to images on the website and social media by reviewing visual content, writing clear and accurate descriptions that support accessibility and SEO.
    • Proofread written materials to ensure accuracy, clarity, and consistency with organizational style and messaging.
    • Direct any media inquiries to the Communications Strategist and CEO.
  1. Event Support (25%)
    • Respond to event-related inquiries by telephone and email, ensuring professional and timely communication; direct inquiries to appropriate personnel where required.
    • Maintain clear and coordinated communication with vendors, internal stakeholders, and event attendees.
    • Assist with event research and planning, including evaluating venues and coordinating with vendors such as caterers, lighting and sound providers, and décor suppliers.
    • Circulate event marketing and promotional materials including invitations, guest/artist packages and registration details.
    • Track nominations and organize related submission materials including nominee biographies and photographs.
    • Conduct follow-up communication to ensure the timely receipt of required materials.
    • Support guest list coordination, RSVP tracking, the development of seating charts, and monitoring of attendance.
    • Provide logistical support during events, including front-of-house duties, vendor and catering coordination, photography support, attendee assistance and post-event tear-down.
    • Support onsite guest needs to ensure events are executed with professionalism and efficiency.
    • Complete any other event-related errands as required.

KNOWLEDGE, SKILLS AND ABILITIES

  • Some post-secondary education in administration, communications, event management, or a related field.
  • One to two years of experience providing administrative support, event support or customer service.
  • Knowledge of arts, artists and arts organizations in Saskatchewan.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and precise attention to detail.
  • Proficiency in Microsoft Office Suite including Excel, and remote meeting software (Teams and Zoom).
  • Minimum typing speed 50 WPM.
  • Some experience with Canva, social media platforms, event registration software, desktop publishing software or WordPress is considered an asset.
  • Ability to manage multiple concurrent tasks and meet deadlines.
  • Possession of a valid Saskatchewan driver’s license.
